Step-by-Step: Create Your First Chart

    Organise your data

    Put labels in the first row or column and data in adjacent cells. Charts work best with clean, organised data. Include headers β€” Excel uses them as chart labels automatically.

    Select the data range

    Click and drag to select all the data you want to chart, including headers. Hold Ctrl to select non-adjacent ranges.

    Insert the chart

    Go to the Insert tab β†’ Charts group. Click the chart type you want. For general use, Recommended Charts (Insert β†’ Recommended Charts) shows Excel's suggestions based on your data.

    Choose the right chart type

    Bar/Column chart: comparing categories. Line chart: trends over time. Pie chart: proportions of a whole (use sparingly β€” bar charts communicate proportions more clearly). Scatter chart: relationships between two variables.

    Add a title

    Click on "Chart Title" in the chart and type a clear, descriptive title. A chart without a title leaves viewers guessing what they are looking at.

    Use the Chart Design tab to change the overall style and colour scheme. Use the Format tab to format individual elements (axes, legend, data labels). Click any chart element to select and format it specifically.

    Add data labels if needed

    Right-click on the data series β†’ Add Data Labels. Useful for pie charts and small bar charts where exact values matter.

Moving and Resizing Charts

Click and drag the chart to move it. Drag the corner handles to resize. To move a chart to its own sheet: right-click the chart β†’ Move Chart β†’ New Sheet.
